Job Purpose

Qualifications

The Uganda National Academy of Sciences (UNAS) is an autonomous, honorific and service organization that compromises a diverse group of scientists from the physical, biological, social and behavioral sciences. These scientists work together in an inter-displinary and trans- displinary manner to achieve their main goal of promoting excellence in sciences by offering independent, evidence- based advice by prosperity of Uganda. The Academy, established in 2000, was recognized by a Chartered granted by HE. the president in 2009. UNAS seeks to recruit an Executive Secretary to serve as Chief Executive Officer of the Academy. The position, to be based in Kampala, will be full time, for a 3-year contract.
Specific Responsibilities:
The UNAS Executive Secretary is responsible for the successful leadership and management of the organization according to the strategic direction set by the council as the Chief Executive Officer of the Academy. In particular, the Executive Secretary is responsible for the following:
Management and Administration of the Academy programs, staff and assets.
Provide leadership in implementation of Academy Strategic Plan.
Provide leadership on implementation of policy, coordination, monitoring and evaluation of programs.
Participate in mobilization of resources for the Academy
Present quarterly and annual financial reports to council
Preparation of annual budget, annual report and other reports of the academy
Provide leadership for Human Resource Management including formation of effective teams.
Management of UNAS Funds/Approval of expenditure requests.
Act as Academy’s Accounting Officer.
Link and represent the Academy to academic, government, international research, business organizations and other academies.
Provide accountability for all Academy funds
Assist the Secretary General in his/her functions to council.

Carry-out any other duties as directed by the Secretary General.
Requirement:
Ugandan citizen with PhD degree in any field relevant to Academy work or equivalent knowledge.
At least 5 years' experience in management of an organization, human resources and related programmes.
Demonstrate proficiency in conveying scientific/ technical/policy information in oral and written form.
Experience in Financial Management at an organizational level.
Ability to communicate and network at national and international levels.
Ability to write fundable proposals.

ii. Seven(7) years working experience, five(5) years of which must be in senior management position in the ICT Sector in East Africa;

iv. Knowledge and experience in legal and regulatory issues with in the region;

The National Council for Higher Education was established under “The Universities and Other Tertiary Institutions Act, 2001″ for (a) regulating and guiding the establishment and management of Institutions of higher learning and (b) regulating the quality of higher education, equating of qualifications and for advising government on higher education issues.
The following positions are available at the National Council for Higher Education. All the positions are for a three-year contract, renewal on good performance and on mutual agreement.

Position 2: Secretaries (2 Posts)

Duties
(i) Provide administrative and secretarial support to staff, including special projects, office workflow, appointments, correspondence, manuscripts, grant proposals, budgets, data compilation and records control. May perform duties of a sensitive and confidential nature;
(ii) Coordinate special projects and events, office activities and committee meeting;
(iii) Maintain calendar, schedules appointments and meeting rooms;
(iv) Prepare manuscripts, grant proposals, statistical reports, tables, and charts;
(v) Locate and compile information and formats reports, graphs, tables, records and other courses of information;

Qualifications

About this Job:
Background:

Makerere University (through the Graduate School) received funds from Sida/SAREC and other partners to support the establishment of a Demographic Surveillance Site Project (DSS) in Iganga and Mayuge districts. The site focuses on key demographic events, health and nutrition surveillance, social economic and food security surveillance, water source and utilization as well as cause of deaths among other things. Makerere University is working in partnership with the districts of Iganga and Mayuge to oversee the project’s operations and progress.

A suitable candidate is being sought to fill the position of Administrative Secretary in Iganga/Mayuge Demographic Surveillance Site:

Position: ADMINISTRATIVE SECRETARY (1)

Summary of Responsibilities:

1.   Setting up and maintaining office administrative records.

2.   Handling the procedure of procurement of equipment and supplies.

3.   Maintain the issuance, custody, recording and accountability of all petty cash transactions

4.   Handling communications – receiving, storing, retrieving, dispatching, organizing documents and other correspondences as well as answering phone calls and providing basic information to callers and visitors.

5.   Coordinating and scheduling conferences, meetings & visits. .

6.   Liaising with the DSS Accountant in preparing the financial requisitions and accountability.

7.   Handling equipment maintenance and repair needs.

8.   Ensure that all the services are paid for eg: telephone bills, rentals, electricity etc.

9.   Participate in Staff meetings and take minutes.

10. Any other duties as assigned from time to time.

Requirement:
Educational Requirements and Qualifications:

Degree in Secretarial Studies, Social Science, and any other related field.
Applicants with additional Training and experience in Administrative work will be preferred.

Reports to: Finance and Operations Manager

Duties and responsibilities
 Receiving and handling guests visiting KNCV offices
 Maintaining a customer-friendly reception area
 Operating and maintaining telephone switchboard
 Handling in-coming and out-going mails, messages and parcels
 Handling and maintenance of front office equipments
 Assisting finance and operations manager in making staff travel arrangements
 Any other duty that may be allocated by the supervisor from time to time


Requirement:

Minimum requirements
 Diploma in Business Administration/Management, Secretarial studies or any related field from a recognized institution.
 Additional training in customer care will be an advantage
 Demonstrates good understanding of front office management, and coordination of internal and external customers
 Must have good oral and written communication skills and possess the ability to communicate effectively with all levels of the organization
 Must have clear speech and be able to create good rapport with guests and be extremely courteous and friendly at all times
 Must be confident, eloquent and able to multi-task with good communication and public relations
 Computer skills including the use of MS Office
 At least two years experience in a busy working environment.

POST: COMPANY SECRETARY

Uganda Clays Ltd is a major manufacturer and supplier of clay building products in the Eastern and Central African Region.  The Company wishes to recruit a Company Secretary to be based at its head offices located at 14km along Entebbe Road, Kajjansi. Applications are invited from suitably qualified, individuals to fill the post.  The successful applicant will be responsible for overseeing all Legal and Board matters at Kajjansi and Kamonkoli factories.

Reporting:

The Company Secretary is a top management position reporting directly to the Managing Director.

 Job Purpose:

To ensure that the Board of Directors functions properly and advise on, and ensure implementation of, the legal matters, policies, systems, plans and procedures.

 Job specification:



1.        Be responsible for all legal matters such as contracts, insurance, statutory instruments and registration.



2.        Be responsible for Board of Directors matters such as preparation of memos, calling meetings and keeping minutes.



3.          Communicate to management the decisions, policies, and laws made by Government, shareholders and the Board of Directors and, under the direction of the Managing Director, monitor them and ensure their  implementation.



4.        Maintain a record of all Company Assets and ensure safe custody of all documentations thereto.



5.        Be responsible for the public relations of the Company.



6.        Supervise the Purchasing function to ensure that the operations are    in conformity with the policies of the Company.



Person Specifications:



1.        Should posses a degree in Law and a post graduate diploma in legal practice OR be a Member of the Chartered Institute of Secretaries and Administrators.



2.        Should have a working experience of at least eight (5) of which three (3) should be at a senior management level handling Company Secretarial work.
Terms



Three (3) year contract, renewable by mutual consent.
