PERSONAL ASSISTANT
Reporting to the Managing Director
The successful candidate will demonstrate:
A working knowledge of the operation of office machines and equipment.
Excellent verbal and written communication skills
Excellent interpersonal skills and ability to handle diversity in the work-place.
Ability to handle multiple tasks in a fast-paced work environment.
Team player.
Good analytical skills, and conflict management
Ability to interpret financial reports, and other management reports.
Good organization and people management skills
Good problem solving skills and attention to detail
Good negotiation skills
Good report writing
Ability to handle cash, and contributing to budget development of the Office
Utmost professional integrity, confidentiality and impartiality
A positive disposition

Duties and responsibilities
To manage MD’s meetings and follow-up the relevant parties to ensure that the action points arising from the meeting are resolved.
To manage the communication in and out of the MD’s office.
To support the MD in preparation for meetings, and preparation of briefs/minutes from those meetings
To oversee all aspects of the administration of the Office of the Managing Director.
To take note of actions required of the MD and to ensure these are efficiently done.
To handle non-essential and routine executive matters on behalf of the MD.
To represent or act on behalf of the MD on his instruction.
Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings
To review and prepare briefs for reports and documents coming to the MD’s office, and prepare background documents and outgoing mail as necessary

Requirement:
Applicants must have
A Bachelor’s Degree
At least 5 years experience of running a busy office, and of providing support to Executives.
Extensive experience with Microsoft Office products including Microsoft Word and Excel skills -
Excellent calendar management skills, including the coordination of complex executive meetings
Proven skills in handling multiple tasks simultaneously
Administrative skills and ability to work under pressure
Experience scheduling travel arrangements for management
Good at following up issues to conclusion
