JOB DESCRIPTION
Post Title: Administrator
Main Purposes of Post
The Administrator’s main duty will be to assist with the financial aspects of the clinic recording ICD10 codes and NAPPI codes, assist with patient records on the computer system, answer telephones, record and deliver messages, return and follow-up telephone calls, greet patients and visitors, courteously, working with the multidisciplinary team, to direct them to the respective departments for help and treatment and perform appropriate administrative duties. They will also be able to oversee good customer service and experience.
Person specification
The Administrator should have, or be able to demonstrate:
o A good Bachelor’s degree or equivalent qualifications and preferably some good experience of working in a professional (medical) administrative environment.
o Must have financial background
o An understanding of medical treatments and coding will be an advantage.
o Service sector experience
o Ability to liaise with the patients, visitors, other health related services and health staff in a personable and friendly manner
o Good interpersonal skills essential.
Skills and Personal Requirements
o Proactive approach.
o Strong written and spoken English language communication skills. Other languages are an advantage.
o Competency in computer applications, preferably medically related
o Good Customer care skills and commitment to quality customer care.
o Strong communication and presentation skills.
o Capable of building up positive relationships with other staff, especially the nursing staff and related professionals
o Team player.
o Integrity.
o Ability to cope under pressure
Duties and Responsibilities
o Answering all incoming calls in a pleasant manner and directing them appropriately
o Greeting all patients and visitors who come to the clinic and arranging for them to be seen, in a timely manner, with involvement of the nursing staff.
o Be a ‘Champion’ of customer care.
o Taking messages and relaying them to the intended persons in a timely way, returning telephone calls if necessary.
o Handle all incoming and outgoing mails, ensure posted mails are received and forwarded to the addressees appropriately.
o Ensure patient’s accounts are dealt with efficiently and receipts are provided.
o Ensure patients are booked in correctly, with all relevant information.
o Ensure patient records are completed and the relevant codes are applied.
o Maintain the reception area and waiting areas to look welcoming and neat at all times with adequate supplies of magazines, toys and full water dispensers.
o Take initiative to ensure the reception area is run efficiently. Attend to patients and visitors professionally and efficiently.
o Respond to patients and visitors’ needs, special requests and complaints and alert the manager as needed.
o Order relevant supplies through the Chief Operating Officer
o Ensure posters, patient information leaflets are available.
o Uphold and promote the Healthcare Centre’s mission, vision and values.
o Monitor staff movements as required.
o Perform other appropriate duties as may be allocated to you.
