CARE seeks motivated and qualified professionals to fill the positions:

Program Assistant (PA) based in the country Headquarters office in Kampala.

The Role:

The Program Assistant will report to the Information & Documentation Officer. The post holder’s primary responsibility will be to provide management support to Program and Program Quality & Learning units inclusive of managing the Country Office (CO) resource centre, secretarial duties, administrative, financial and procurement logistics, transmitting and filing CO documents. He/she is expected to ensure orderliness within the Program department. The holder of this position will be an all round person who can seamlessly work within and across departments. She/he will have roles to play in program, supporting multiple projects, and Program support taking on Administration roles.

Key responsibilities of the Program Assistant include:
 Manage and organise CO resource centre to facilitate organizational learning and knowledge management.
 Develop and design information programs and systems that will be used by staff and the public, making sure that all information is displayed in a user friendly way
 Source for up to date literature and make decisions related to buying materials from publishers and other organizations.
 In collaboration with Program Quality & Learning Unit provide regular updated information for the Country Office websites and online networking sites.
 Support Program Unit in organisation of CUHQ workshops and other CO functions.
 Coordinate and liaise with Program Support departments on Country Office administrative, financial and procurement logistics, (e.g. CO workshops, CO Consultancy procedures, and CO visitors
 Follow-up activities in the monthly country office calendar of events to all project managers and staff for proper planning.


Requirement:

Qualifications/ Requirements
 A University degree in Secretarial Studies or any other relevant discipline from a reputable institution is a must; skills in Library and Information Science would be an added advantage.
 At least 3 (three) years working experience in a similar position, preferably with an international NGO or any other reputable organisation.
 Good planning, time management, problem solving and prioritization skills; team work, oral & written communication skills, are a must have competences.
 Very good computer skills in word-processing, publishing, spread sheets and database are a requirement.
 Ability to provide the full range of executive office support work at the highest level and working within set but varying policy guidelines.
 Good interpersonal and public relations.
 High degree of judgment and tact in handling the most sensitive, diverse and confidential material.
 Maturity and initiative; work independently with minimal support/supervision from the supervisor
 High standards of integrity.
