Job Title: RECORDS OFFICER (5 VACANCIES) REF. DSC 15/70/02 SALARY SCALE: UGANDA GOVERNMENT SCALE-KCCA 7 AGE: 21 YEARS AND ABOVE
MINIMUM QUALIFICATION AND WORKING EXPERIENCE:
Applicants should be Ugandans holding an Honors Bachelor’s Degree in Records/Archives Management or Library and Information Science or any other qualification in the field of records/Archives and information management.
Possession of a Post Graduate Diploma in any of the above or related discipline from a recognized University/Institution will be of an added advantage.
Applicants should have a minimum of two (2) years working experience in Records and Information management from a reputable organization
He/she should have the following key competences Integrity and confidentiality, implementing records and information management policies , oral and written communication competences, interpersonal relations, ability to work as a team, ability to work and produce accurate results in an environment with multiple and challenging tasks an ability to meet timelines and handle multiple tasks simultaneously
DUTIES:-
The incumbent will be responsible to the Supervisor for performing the following duties:-
 Keeping custody of both current & non-current soft & hard Authority’s records in line with the records/Archiving policy.
 Opening, allocating reference numbers and maintaining an updated register of the files inventory in line with departmental rules and regulations.
 Organizing the Registry and safeguarding records as per Departmental Rules and Regulations.

 Sorting, registering and file records/dispatch outgoing correspondences/documents as per Departmental Rules and Regulations.
 Retrieving documents/files, issuing and maintaining movement of registers in line with Departmental Guidelines.
 Carrying out file weeding exercises and updating the dormant and Archives Sections as per Departmental Rules and Regulations.
 Capturing files particulars in the main database in line with Departmental Guidelines and Registering Procedures.
 Coordinating and monitoring utilization and payment of utilities bills in line with the directorate of treasury services and administration and Human Resources guidelines
 Any other duties as may be assigned from time to time
